Privacy Policy

Last updated: 23 August 2026

This notice explains how AI Automation Services UK uses personal information when you visit this website, send an enquiry, book a demonstration, try the browser-based receptionist demo or communicate with us about our services.

Who we are

AI Automation Services UK provides managed call-handling and business automation services. For privacy questions or requests, email info@aiautomationservices.uk.

Information we collect

  • Enquiry information: your name, business or practice name, work email, phone number, business type and the information you choose to include in a message.
  • Booking information: the details you submit through our Calendly booking page.
  • Demo information: microphone audio and conversational text needed to provide the live receptionist demo. Your browser asks for microphone permission before a voice session starts.
  • Technical information: limited device, browser, security and cookie-consent data produced when the website operates.
  • Business outreach information: professional contact details and facts about a business obtained from public business websites, directories or vacancy pages where we carry out relevant business-to-business outreach.

Why we use it

We use this information to respond to enquiries, arrange and deliver demonstrations, provide requested services, keep the website secure, maintain accurate business records, improve approved call flows and conduct relevant business-to-business marketing.

Depending on the situation, our lawful basis is taking steps at your request before entering a contract, performing a contract, complying with legal obligations, consent (for example microphone access or non-essential cookies), or our legitimate interests in operating and promoting a relevant B2B service. You may object to direct marketing at any time.

Who receives information

We use carefully selected service providers only where needed, including website hosting and WordPress services, email delivery, Calendly for bookings and Retell for the browser voice demonstration and managed call service. These providers process information under their own terms and data-protection commitments. We may also disclose information where required by law or to protect legal rights.

International processing

Some service providers may process information outside the United Kingdom. Where required, we rely on recognised safeguards such as adequacy regulations or approved contractual protections.

How long we keep information

We keep enquiry and customer records only for as long as reasonably needed to respond, provide services, maintain necessary business records or meet legal obligations. Demo and call data is retained according to the relevant service configuration and is not kept longer than needed for the stated purpose. Suppression records may be retained so that we can continue to respect an opt-out or do-not-contact request.

Cookies and similar technology

The site uses essential technologies for security and core operation. Non-essential cookies should not be enabled until you make a choice through the cookie controls. You can revisit that choice using the re-consent control shown on the site and can also manage cookies in your browser.

Your rights

UK data-protection law may give you rights to access, correct or erase personal information, restrict or object to its use, and receive certain information in a portable format. Where processing relies on consent, you can withdraw that consent. To make a request, email info@aiautomationservices.uk.

You can also complain to the Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint.

Direct marketing opt-out: reply to any outreach email with “unsubscribe” or email us at the address above. We will stop the sequence and add the relevant contact details to our suppression list.

Changes to this notice

We may update this policy when our website, services or suppliers change. The current version and its update date will remain available on this page.
